One platform for leads, quotes and jobs
Everything RCB Group needed to run a loft or extension job from first call to final payment, and could not buy in one place. Now opening to founding contractors.
The problem is not effort. It is the gaps between tools.
A typical week: a lead comes in on Checkatrade, gets answered on WhatsApp, the drawings arrive by email, the quote is built in Excel or a quoting app, the follow-up lives in someone's head, and the deposit is chased by text. Five tools, no record. When the client asks "what did you say about the steels?", someone scrolls.
Dwellinger was built inside a working contractor to close those gaps. Each feature below is in daily use on RCB Group's own projects.
What is in the platform
Pipeline and qualification
13 stages from new enquiry to contract. An 8-point qualification checklist per lead. Duplicate detection so a client who calls twice is one lead, not two. Red and amber flags at 3 and 7 days without contact.
Pipeline & comms →Estimating and scope of works
Templates for loft, extension, refurbishment, kitchen and bathroom. Quantities before prices. Low, standard and high tiers side by side. Version history, so the client sees what changed and why. Word, Excel and PDF output with your branding.
Estimating & scope →Planning leads
Approved and pending applications from councils around the M25 flow into the pipeline with the applicant, address and description, ready to qualify.
Planning leads →Calls, SMS, WhatsApp, email
Every contact logged on the lead timeline. Ten starter templates for the messages you send every day. Estimates sent by email, link or WhatsApp in one click.
Money
Invoicing with PDF export, stage invoices, 5% deposit tracking, paid, partial and overdue status, per-project costs with receipt upload, and a quarterly VAT summary.
Jobs and site
Active projects with stages and timeline, tasks, a daily site diary, weekly progress reports, a documents library and clock-in with location.
What it means on a Tuesday
- Drawings in by 9, scope out by lunch. Which means you are first back, not third.
- Every lead has a next action and a date. Which means "I forgot to chase" stops being a reason you lost a £60k job.
- The client reads a room-by-room scope, not a number. Which means you stop being compared on price alone.
- Stage payments are set up before the first day on site. Which means cash arrives when the stage does.
Who it is for
Residential contractors doing lofts, extensions and refurbishments, from a two-person firm that quotes at night to a ten-person team with an estimator. If you already run on a mature ERP with a procurement department, this is not for you yet.
Questions contractors ask us
Which trades is it built for?
Residential building first: loft conversions, extensions, refurbishments, kitchens and bathrooms. That is the work RCB Group does and the templates reflect it. Single trades can use the pipeline and comms today; trade-specific estimate templates come later.
Does it replace my CRM, my estimating spreadsheet and my lead feed?
That is the intent. Pipeline, estimating, scope, planning leads, calls and messages, invoicing and stage payments sit in one account. You decide what to switch on.
What about my existing Checkatrade and Bark leads?
Email forwarding brings Checkatrade enquiries into the pipeline as leads. Bark and other sources are tagged on the lead so you can see which source actually turns into contracts.
Who sees my data?
You and the people you invite. Each contractor's account is separate. RCB Group does not see other contractors' leads, prices or clients.
How many users?
Founding terms, including user numbers, are published to the list first. Tell us your team size on the form and we will size it with you.
