How to Manage a Building Project in London: A Practical Client's Guide

Understand Your Role as a Client

As a client, your job is to make clear decisions on design, finishes, and scope; respond to queries promptly when your contractor needs a decision; understand and manage your budget; and communicate any concerns through the right channels. What creates problems is a client who confuses involvement with interference, or who expects certainty where it does not yet exist.

Get the Documents Right Before You Start

The single most effective thing a client can do to reduce site problems is to ensure the right information exists before the build begins. This means confirmed architectural drawings, structural engineer's calculations where relevant, a written scope of works, a clear programme with milestones, and a written record of all material and finish specifications.

Establish Clear Communication Channels

Agree at the start of the project how communication will work. Identify your main point of contact. Agree how often you will receive updates. Agree how variations will be handled — anything outside the original scope should be agreed in writing before it is carried out. Agree the protocol for raising issues.

Manage Your Budget Actively

Know your baseline figure and what the assumptions are. Keep a running change log — every instruction outside the original scope should be costed and approved in writing. Maintain your contingency; a 10–15% contingency should be held back for genuine site discoveries. Track payments against programme milestones.

Make Decisions Promptly

One of the most underrated causes of project overrun is slow client decision-making. A contractor waiting for a decision on tile selection, a kitchen specification, or a structural detail cannot progress around the gap — delays compound quickly on a live site.

Work With Your Contractor, Not Against Them

The relationship between a client and a principal contractor should be a professional partnership. A good contractor is on your side. If something concerns you, raise it professionally and early — a good contractor will engage with it constructively.
