What we collect

Contact details you give us: name, email, phone number and property address or postcode.
Project information: the work you are considering, budget range, timing, planning status, and any drawings, photos or documents you choose to send.
Messages and call notes when you contact us by phone, WhatsApp, email, the website chat assistant or a booking page.
Website usage data from analytics and advertising cookies, only if you allow them (see our cookie policy).

How we use it, and our lawful basis

To respond to your enquiry, arrange calls, reviews and surveys, and prepare estimates or quotations — steps taken at your request before entering into a contract, and performing a contract once agreed.
To run and improve our business and website, keep records and prevent misuse — our legitimate interests.
To meet legal obligations, such as tax, accounting and health and safety records — legal obligation.
To send occasional updates or marketing — only where you have agreed, or where the law allows us to contact existing clients about similar services. You can opt out at any time.
Analytics and advertising cookies — only with your consent, which you can change at any time.

The AI chat assistant

The chat assistant on this website is automated software, not a member of staff. What you type is used to answer your question and, if you share contact details, to pass your enquiry to our team. Please do not share sensitive personal information in the chat.

Who we share it with

We do not sell your information. We share it only as needed to provide our services, with: service providers who host our website, customer records and file uploads, and who provide our email, phone, messaging, booking, analytics and AI chat tools (acting on our instructions); professionals working on your project with your agreement, such as architects, engineers, party wall surveyors and Building Control; and authorities where the law requires it. Some providers may process data outside the UK; where they do, we rely on the safeguards UK data protection law requires.

How long we keep it

Enquiries that do not go ahead: up to 2 years after our last contact.
Client and project records: up to 7 years after the project ends, for legal, tax and warranty purposes.
Marketing preferences: until you opt out, then a record of the opt-out.

Your rights

You can ask for a copy of your information, and ask us to correct it, delete it, restrict or object to how we use it, or transfer it. You can object at any time to our use of your information for direct marketing. Where we rely on consent, you can withdraw it at any time. Contact office@rcbGroup.co.uk.
